Customer debts and deposits to return

Typical deposits by car class

How much is a car rental deposit? It depends on the car's value, the insurance excess and the renter's profile. Typical ranges:

Car classDeposit (USD)Deposit (EUR)Cross-border
Economy$200–300€150–300×1.5–2
Compact$300–500€300–500×1.5–2
SUV / van$500–1,000€500–1,000×1.5–2
Premium / sports$1,500–5,000+€1,500–5,000+case by case
Fleet: cars with photos, mileage, insurance and inspection dates
Deposit and cross-border deposit stored on each car.

A practical rule for a security deposit car rental businesses use: at least the insurance excess + a typical small damage (scratch, wheel) + a tank of fuel.

Cash, card hold or pre-authorization

MethodProsCons
Cashinstant, simpleholding cash, refund in person
Bank transferpaper trailwaiting for funds, refund by transfer
Credit card pre-authorization (hold)renter keeps the money, industry standardneeds a terminal that supports holds; holds expire after days
Debit cardcommonthe hold actually removes money from the renter's account

Whatever you choose, record every deposit: who, how much, when and how.

When you can keep the deposit

Only for documented amounts under the agreement:

  • damage during the rental (pickup vs return report, photos, repair estimate),
  • missing fuel and excess mileage,
  • late return fees,
  • fines and tolls from the rental period,
  • cleaning for unusual dirt.
Return report: the CRM adds the excess mileage fee
On return the CRM calculates excess mileage — the fee can be deducted from the deposit.

Car rental deposit refund: state the deadline in the agreement (e.g. 7 days after return) and give a written breakdown of any deductions. See how to word it in our car rental agreement template.

Tracking deposits in software

With several rentals a week it's easy to lose track of whose deposits are in the drawer. In AutoRent CRM deposits received, refunded and withheld are separate operations on the booking; the CRM lists deposits you hold and those due back, turns withheld amounts into income and never lets you refund or withhold more than was received. See how it fits into the rest of the car rental accounting software.

Frequently asked questions

When must a deposit be refunded?

By the deadline in the agreement — usually 7–14 days after return — minus documented charges. Without a deadline in the agreement, refund it promptly once the rental is settled; local consumer law may set limits.

How much deposit should I charge?

Commonly a few hundred to a couple of thousand in local currency, depending on car class — more for premium cars and trips abroad.

Cash or card hold?

A card hold is convenient and safe; cash suits customers without a credit card. Either way, record who paid what and when it is due back.

When can I keep part of the deposit?

For damage, missing fuel, excess mileage or late return — as defined in the rental agreement.

How do I keep track of deposits?

Keep a list of who paid, how much and when to refund. Car rental software shows it automatically.
