This rental car inspection template (a car rental inspection checklist template you can brand) has pickup and return columns on one sheet — one vehicle condition report for the whole rental: odometer and fuel, exterior and tyres, interior and equipment, a damage diagram, a damage table and charges at return. Download the rental car inspection checklist PDF to print, or the Word file to edit.
Pick-up inspection step by step
- Check the renter's ID and driver's licence; note the numbers in the agreement.
- Take payment and the deposit.
- Walk around the car with the renter: four sides, roof, wheels, glass, mirrors.
- Mark every existing damage on the diagram and show it to the renter.
- Photograph the odometer and fuel gauge.
- Check equipment: documents, keys, spare wheel or repair kit, warning triangle, first-aid kit, child seat.
- Explain the mileage allowance, fuel policy and return time.
- Both sign the agreement and the rental car inspection sheet.
Return inspection: don't miss damage
- Inspect in good light — use a torch in the evening, drive out of dark garages.
- Compare zone by zone with the pickup report and photos, not "at a glance".
- Check wheels and lower bumper edges (kerbs), windscreen chips, upholstery stains and burns.
- Record odometer and fuel and calculate extra charges with the renter present.
- Don't refund the deposit on the spot if the car is too dirty to inspect the paint — write that down.
Photo rules that win disputes
| Rule | Why |
|---|---|
| Four sides + wheels + glass + odometer at pickup and return | the "before/after" baseline |
| Each damage close-up and from a distance | shows size and location on the car |
| Photos stored with the booking, not on a personal phone | easy to find, hard to dispute |
| Note bad light or a dirty car in the report | explains what could not be checked |
A signature proves the renter saw the report; photos prove the condition.
Digital inspection on a phone
Paper reports get lost and photos scatter across staff phones. In AutoRent CRM — a rental car inspection app in the browser — you record odometer, fuel, camera photos and damage on the diagram right at the car. Pickup damage is never charged to the renter, new damage at return goes into the booking balance, and excess mileage and missing fuel are calculated automatically. Frequently asked questions
What should a rental car inspection include?
Odometer, fuel level, exterior zone by zone, wheels and glass, interior, equipment and keys, every existing damage marked on a diagram, photos, and signatures at pickup and return.
How to handle damage disputes?
Compare the pickup and return reports and photos, get a repair estimate, and deduct only documented costs from the deposit with a written breakdown. Disputes are rare when the renter saw the pickup report.
